THE CHALLENGE
Where they were stuck
RYSE Floors generates a steady stream of homeowner leads from Meta Ads who opt in for a free in-home estimate. But the sales reps hated chasing leads by phone when they just wanted to show up to booked estimates and close deals, slowing down speed to lead and leaving older leads dead in Monday CRM.
Sales reps hated calling Meta Ads leads and just wanted to run in-home estimates and close deals
New Meta form fills waited hours while reps were in customers’ homes, hurting connect and booking rates
Leads that human reps couldn’t reach within 14 days were written off as dead in Monday CRM
THE SYSTEM WE BUILT
How we solved their problems
Speed to Lead on New Meta Ads Opt-Ins
The moment a homeowner fills out a Meta Ads form and lands on RYSE’s Monday board, a webhook triggers the AI voice agent to call within seconds from a local number. Calling while the homeowner is still looking at their phone drove a 32% live connect rate.
AI Qualification & Direct Housecall Pro Booking
On the call, the AI confirms flooring type, rooms, square footage, current flooring, baseboards or stairs, home ownership and timeline. About 20% of connected homeowners qualify and book right on the call: the AI matches their ZIP code to the right showroom, checks live rep calendars in Housecall Pro, books the two-hour estimate and updates Monday to Est Scheduled.
Reviving Dead Leads Human Reps Couldn’t Convert
Alongside speed to lead, trigger campaigns automatically work RYSE’s Cold Leads and Cold Follow Up stages. Even on dead leads that human reps had given up on, the AI reached 38% of homeowners and booked estimates from leads up to 110 days old, including a 2,150 sq ft whole-house job a rep had marked lost.
RYSE Floors is a family-owned flooring company that has been selling and installing floors since 1995, with showrooms in Georgia and Florida plus a mobile showroom that brings samples straight to the homeowner’s door. To generate demand, RYSE runs Meta Ads where homeowners opt in for a free in-home flooring estimate, and every new lead lands on RYSE’s Monday CRM boards.
Getting those opted-in Meta Ads leads onto a calendar was the bottleneck. The same sales reps who drove out to run two-hour in-home estimates were also expected to call new form fills and chase follow-ups. The reps hated dialing through Meta Ads leads all day when they just wanted to show up to estimates and close deals. Whenever reps were out in customers’ homes, new Meta leads waited hours for a first call, connect rates dropped, and unreached leads piled up in Monday.
Regional Manager Ahmed Alkhafaji signed up with Outbound System so AI voice agents could take over calling across the Meta Ads funnel and let his reps focus on closing. Outbound System connected directly to RYSE’s Monday CRM and Housecall Pro. Now, the moment a homeowner submits a Meta lead form, a Monday trigger fires and the AI calls them within seconds from a local number while they still have their phone in hand.
When the homeowner picks up, the AI has a natural two-way conversation to qualify the project on the spot. It confirms the flooring type, which rooms are being redone, rough square footage, what is on the floor currently, extras like baseboards or stairs, whether they own the home and their timeline. Once qualified, the AI uses the homeowner’s ZIP code to pick the right showroom, checks live rep availability in Housecall Pro, offers two-hour appointment windows and books the free estimate round-robin onto a rep’s calendar after confirming the street address. Housecall Pro sends the confirmation, and Outbound System writes the call summary, qualification notes, recording link and updated stage straight back to Monday.
Calling Meta Ads leads within seconds changed the funnel math immediately. Across 897 calls to 485 opted-in Meta Ads leads, the AI reached 287 homeowners live, a 32% connect rate, and converted 20% of those conversations into 58 qualified, booked in-home estimates. Outbound System also launched automated revival campaigns on RYSE’s Cold Leads and Cold Follow Up lists, the dead leads that RYSE’s human sales reps had already called for two weeks and couldn’t convert. Even on that written-off pipeline, the AI reached 38% of homeowners and booked estimates from leads sitting in Monday for up to 110 days, including a 2,150 sq ft whole-house LVP and stairs job that a human rep had marked lost three days before the AI called.
“It’s pretty good. So it sounds really real. Had the sales guys come in. They thought it was a real person,” Ahmed said. “In the future, I hope to have no sales guys calling and just running estimates the whole time.”
FAQ
Frequently asked questions
Common questions about this case study, answered.
What conversion rates did RYSE Floors get calling Meta Ads leads within seconds?
Calling opted-in Meta Ads leads within seconds of form submission produced a 32% connect rate (287 live conversations from 897 calls across 485 leads). Roughly 20% of homeowners who connected were qualified and booked an in-home estimate on the call, resulting in 58 booked estimates in Housecall Pro.
Did the AI also convert dead leads that human reps couldn’t book?
Yes. In addition to calling fresh Meta Ads leads within seconds, Outbound System ran trigger-based revival campaigns on the Cold Leads and Cold Follow Up stages in Monday CRM that human reps had stopped calling after 14 days. The AI reached 38% of those written-off homeowners and booked estimates from leads up to 110 days old, including a 2,150 sq ft whole-house project a rep had marked lost.
How does the Monday CRM and Housecall Pro workflow run without human callers?
When a Meta Ads lead lands on RYSE’s Monday board or moves into a follow-up stage, a webhook triggers the AI call automatically. Once the AI qualifies the rooms, square footage and flooring type, it checks live showroom availability in Housecall Pro by ZIP code, books the two-hour estimate onto a rep’s calendar and writes the notes, recording and new stage back to Monday.

Strategy
Hand N Hand Consulting helps Arizona agencies that serve people with developmental disabilities get licensed, stay compliant and grow. Those agencies are required to have Arizona-licensed physicians on their supervisory councils, a paid and virtual role, and co-owner Jonas Bell set out to find three to five doctors to fill it. Physicians are some of the hardest people to reach by phone. They are busy, heavily solicited and already chased by recruiters, and Hand N Hand had no sales team to call them. Outbound System’s AI calling platform was trained on what doctors care about: a paid seat, a small time commitment and a role agencies must fill. It called 890 Arizona-licensed physicians in their own time zone, screened out anyone without an Arizona license and booked interested doctors straight onto Jonas’s calendar. The first meeting was booked two days after kickoff. Across 1,610 calls, the AI held 225 live conversations (a 14% connect rate) and booked 13 meetings. 75% of the meetings Jonas reported on showed up, and five doctors signed, the top of the goal he set at kickoff.

Strategy
Brad Siebert is a loan officer at Presidential Bank with 24 years in the mortgage business, responsible for generating his own business and referrals. His pipeline depends on building relationships with real estate agents across the country who bring him buyers, but working that channel by phone competed directly with the time he needed for loan origination, and on his own he could realistically make only about 50 calls in the time the system makes 250. Brad was initially hesitant about AI, calling it “fake, for lack of a better term,” until research showing AI outperforming human callers and a demo of the natural-sounding voices won him over. Outbound System’s AI was trained on his approach to agents and set to dial 250 real estate agents a day nationwide, handling objections and booking interested agents directly onto his calendar, often the same day. The AI never gets discouraged by a rejection, it just moves to the next call. The system booked 31 meetings at about a 75% show rate, without taking a minute away from originating loans.

"Every day is like coming downstairs to the Christmas tree on Christmas morning. There’s a new appointment on my calendar and I didn’t have to stop originating loans to get it. There’s no way I could make 250 calls a day and still do my job. And the agents have no pushback. I’m not even sure they know it’s AI."
