THE CHALLENGE
Where they were stuck
Hand N Hand Consulting helps Arizona agencies that serve people with developmental disabilities get licensed, stay compliant and grow. Those agencies need Arizona-licensed physicians on their supervisory councils, a paid and virtual role. Co-owner Jonas Bell needed three to five doctors to fill it, but physicians are some of the hardest people in the country to get on the phone.
Physicians are oversolicited, short on time and already chased by recruiters
Only Arizona-licensed MDs and DOs qualified, so every conversation had to screen fast
No sales team to make hundreds of calls a day to doctors
THE SYSTEM WE BUILT
How we solved their problems
A Script Built for Doctors
The AI introduced itself as a coordinator at Hand N Hand and led with what doctors care about: a paid seat with a small time commitment that Arizona agencies are required to fill. It answered questions about the role, screened out anyone not licensed in Arizona and offered a short follow-up email to doctors who were busy but curious.
Calling 1,041 Physicians
The AI called Arizona-licensed physicians in their own time zone and never left a voicemail. Every number was checked against Do Not Call lists first. Doctors who were interested picked a time on Jonas’s calendar during the call, and the first meeting was booked two days after kickoff.
From Meetings to Signed Doctors
The AI booked 13 meetings with physicians. Of the meetings Jonas reported on, 75% showed up, and five doctors signed, the top of the three-to-five goal Jonas set at kickoff. Every call was recorded, and the dashboard summarized the objections and questions doctors raised.
Hand N Hand Consulting helps Arizona agencies that serve people with developmental disabilities get licensed, stay compliant and grow. Those agencies need Arizona-licensed physicians on their supervisory councils, a paid role that meets virtually. Co-owner Jonas Bell set out to find three to five doctors for it.
Physicians are hard to reach. They are busy, heavily solicited and already hear from recruiters every week. Hand N Hand had no sales team, and calling hundreds of doctors a day by hand was not realistic.
Hand N Hand started on Outbound System’s AI calling platform. After a kickoff call, the team built a script around what doctors care about: a paid seat, a small time commitment and a role Arizona agencies are required to fill. The AI introduced itself as a coordinator at Hand N Hand, answered questions about the role, screened out anyone without an Arizona license and booked interested doctors straight onto Jonas’s calendar.
Over seven weeks, the AI placed 6,447 calls to 1,041 physicians and had 225 live conversations. It booked 13 meetings, the first one two days after kickoff. Of the meetings Jonas reported on, 75% showed up. Three weeks in, five doctors were already moving through onboarding, and all five signed.
“I have about five doctors now going through the onboarding process. So it’s been very effective,” Jonas said. “The physicians really like the offer.”

What does AI calling cost compared with recruiting help?

Strategy
Brad Siebert is a loan officer at Presidential Bank with 24 years in the mortgage business, responsible for generating his own business and referrals. His pipeline depends on building relationships with real estate agents across the country who bring him buyers, but working that channel by phone competed directly with the time he needed for loan origination, and on his own he could realistically make only about 50 calls in the time the system makes 250. Brad was initially hesitant about AI, calling it "fake, for lack of a better term," until research showing AI outperforming human callers and a demo of the natural-sounding voices won him over. Outbound System's AI was trained on his approach to agents and set to dial 250 real estate agents a day nationwide, handling objections and booking interested agents directly onto his calendar, often the same day. The AI never gets discouraged by a rejection, it just moves to the next call. Within his first two months, the system booked roughly 15 meetings at about a 75% show rate, without taking a minute away from originating loans.

"Every day is like coming downstairs to the Christmas tree on Christmas morning. There's a new appointment on my calendar and I didn't have to stop originating loans to get it. There's no way I could make 250 calls a day and still do my job. And the agents have no pushback. I'm not even sure they know it's AI."

Strategy
Candlewood Development is a real estate investor and developer that acquires land for new builds and purchases existing homes from sellers as-is. Sean's growth strategy depends on building a network of real estate agents and brokers who bring deal flow when they encounter sellers needing a fast, certain close. To work that channel at scale, Sean had hired three virtual assistants in the Philippines to call agents on his behalf. The setup produced limited results. Sean replaced all three VAs with our AI cold calling system at a fraction of the combined cost. The AI was trained on Candlewood's specific value to agents (referral fees, fast cash close, no contingencies, retain the listing on the next deal) and built to handle natural objections like skepticism toward investors. Voice quality is indistinguishable from a professional human caller, which immediately lifted conversion rates with agents. Calls used local-area caller IDs and ran during peak agent-availability windows. Interested agents were booked directly into Sean’s calendar. Over 4 months, the AI booked 61 meetings with agents and produced 13 new qualified referral partnerships, outperforming the three-VA team Sean had been managing for years.

"Had 3 VAs in the Philippines making calls for me. Replaced all of them with the AI for a fraction of the cost and I'm getting better results. The voice quality is unreal. Agents have no idea they're talking to AI."
